JobPrompt (“we”, “us”, or “our”) respects your privacy and is committed to protecting the personal information you provide when using the platform. This Privacy Policy explains what information we collect, how we use it, and your rights in relation to that information.
1. Information We Collect
When you use JobPrompt, we may collect the following types of information:
Account and Identity Information
- Full name
- Email address
- Company and site or branch name
- Department
- Role and access level
- Employee initials
Operational Content
- Work order records and history
- Job updates, notes, and handover messages
- Photos and file attachments uploaded to work orders
- Asset information including serial numbers, model numbers, and asset identifiers
- Warning and safety issue records
- Assigned job and team records
Device and Technical Information
- Device push notification tokens (for web and mobile push notifications)
- Browser local storage data (web session and profile information)
- Platform type (web, iOS, or Android)
2. How We Use Your Information
We use the information we collect to:
- Provide and operate the JobPrompt platform for your organisation.
- Authenticate and authorise your access based on your role and access level.
- Display work order records and operational updates to authorised team members.
- Send push notifications for job updates, warnings, and operational events.
- Maintain audit records of actions performed on work orders.
- Improve the platform over time based on usage patterns.
JobPrompt does not sell personal information to third parties. Your data is used only for the purpose of delivering the Service to your organisation.
3. Firebase Services
JobPrompt is built on Google Firebase, a platform provided by Google LLC. The following Firebase services are used:
- Firebase Authentication — manages secure user login and identity verification.
- Cloud Firestore — stores work orders, updates, user profiles, asset records, and notification data.
- Cloud Storage — stores uploaded photos and file attachments associated with work orders.
- Cloud Functions — processes backend operations including user activation and notification routing.
- Firebase Cloud Messaging (FCM) — delivers push notifications to web and mobile devices.
Firebase services are operated by Google and are subject to Google's Privacy and Security practices.
4. Data Storage and Security
Your data is stored securely using Firebase's cloud infrastructure, which includes encryption at rest and in transit. Access to data is controlled through Firestore Security Rules, which enforce company-level data isolation. Users cannot access data belonging to other organisations.
We apply security best practices including access level restrictions, server-side rule enforcement, and token-based authentication. However, no system is completely secure and we cannot guarantee absolute security of data transmitted over the internet.
5. Data Access and Company Permissions
Data submitted to JobPrompt is accessible only in accordance with the permission structure of the platform:
- Employees can access work orders and updates relevant to their assigned jobs and access level.
- Company administrators (L7 access) can access records created by employees within their organisation, including work orders, updates, audit logs, and user records.
- The JobPrompt owner may access company records for support, configuration, and compliance purposes.
- No user can access data belonging to another company.
6. Notifications
JobPrompt uses push notifications to alert users to relevant events including job updates, safety warnings, and work order status changes. To receive push notifications:
- Web— we request your browser's permission before registering a notification token. You can disable browser push notifications at any time from the Settings page.
- Mobile— we request your device's notification permission on first use. You can disable device push notifications at any time from the app Settings page.
Notification routing is determined by your assigned jobs, access level, department, and department controller configuration. Disabling notifications does not affect your access to the platform.
7. Browser Storage (Web)
The JobPrompt web application uses browser local storage to retain your session profile, company information, and site configuration between visits. Firebase may use session tokens as part of its authentication services.
You can clear local storage through your browser settings. Doing so will require you to log in again on your next visit.
8. Third-Party Services
JobPrompt uses the following third-party services to operate:
- Google Firebase — authentication, database, storage, messaging, and cloud functions.
- Vercel (or equivalent) — web application hosting and delivery.
These services have their own privacy policies and data handling practices. We recommend reviewing those policies if you have concerns about third-party data handling.
9. Data Retention
Work order records, job updates, and operational content are retained for as long as your company remains active on the platform. Notification tokens are retained while your account is active and are marked as disabled when you turn off notifications — they are not automatically deleted.
When a company account is decommissioned or terminated, data retained in relation to that company will be handled in accordance with the terms of the applicable service arrangement. Users may request account removal through their company administrator.
10. Your Rights
Depending on your location, you may have rights in relation to your personal information, including the right to access, correct, or request deletion of your data. To exercise these rights:
- Contact your company administrator, who can update or deactivate your profile within the platform.
- Contact us directly at support@jobpromptapp.com for requests that cannot be handled by your company administrator.
We will respond to data requests within a reasonable timeframe and in accordance with applicable Australian privacy law.
11. Changes to This Policy
This Privacy Policy may be updated from time to time as the platform evolves or as legal requirements change. When material updates are made, the “Last updated” date at the top of this page will be revised. We recommend checking this page periodically.
